Privacy Policy — National Distribution

This Privacy Policy explains how N T B F FOODSTUFF - L.L.C, operating as “National Distribution” (“we”, “us”), handles information in the National Distribution application and website (the “Service”), used by our staff for operations and by our customers for placing wholesale orders.

1. Information we collect

Account details — for customers: business/contact name, email, phone, and delivery address you provide when registering or ordering. For staff: name and assigned role.
Order & transaction data — products ordered, quantities, prices, invoices, payments (cash/cheque), and delivery status.
Operational documents — where staff use the document-capture feature, photographs of supplier bills, purchase orders, delivery notes and cash vouchers, plus the details extracted from them.
Device & usage data — basic technical information (e.g. device type, app version) needed to run the Service and keep it secure.

We do not collect financial card numbers, and the app does not ask you to enter card, bank or government-ID details.

2. How we use information

To create and manage accounts and process orders, invoices, payments and deliveries.
To record and organise business documents in our accounting system.
To operate, secure, and improve the Service.
To communicate with you about your orders or account.

3. How information is stored and shared

Business and accounting records are processed and stored in Zoho Books, our accounting system of record. We use Anthropic’s Claude API solely to read the text from documents that staff photograph. We do not sell your personal information. We share data only with these service providers as needed to run the Service, or where required by UAE law.

4. Data retention

We keep business and transaction records for as long as needed to run the business and to meet UAE tax and legal requirements. You can delete your customer account at any time in the app: open Order online, tap Account, then Delete my account. This closes your login and removes your phone number, email and address from the app. Order and invoice records are kept as UAE law requires. You may also request deletion by contacting us (see our support page).

5. Security

Access is protected by individual logins, and connections use encryption (HTTPS). We restrict access to business data to authorised staff only.

6. Children

The Service is intended for business use and is not directed to children under 13.

7. Your rights

You may ask us to access, correct, or delete your personal information. Contact us using the details below.

8. Changes to this policy

We may update this policy from time to time. The “Last updated” date above shows the latest version.
